What Is the Keyword in ERP?
A keyword in an ERP is a label you attach to a record. Its job is making that record findable by somebody inside your own company. Nothing more than that. You type it yourself. The customer never sees it and never chose it.
So it works backwards from the thing SEO people mean by the same word. One label. Two fields, running in opposite directions. Worth sorting out before your product data goes anywhere near a website.
The Answer, Given Plainly
Open any master record in your ERP. An item or a customer. A vendor record, maybe a stored document. Somewhere on that screen sits a short text field meant for searching.
Retrieval is its whole job. You cannot remember that the part number is 4471-B. So you type “blue bracket” instead, and up comes the record.
The label varies by system. Some call it a search term. Others use search key. Search description turns up frequently. Plenty of newer systems just say tags.
Same box underneath. The purpose never changes either.
One thing it is not. Google does not read that field. Your ERP’s own lookup reads it, and nobody else does. At least not until somebody exports the record.
Why the ERP Keyword Field Exists at All
ERP search is fussy. Type a partial description into an item lookup and the results depend entirely on which fields the search touches. Many systems check the code and the description. Not much beyond that.
Which leaves a gap. Your item is called “Bracket, mounting, galvanized, 50mm”. Somebody hunting for a wall bracket types “wall”. No match comes back.
The keyword field patches that gap. It carries the words the official description forgot.
Read it that way and the entry turns into an admission. The proper name of a thing rarely matches how people ask for it. SEO has spent two decades on exactly the same admission.
One Word, Two Opposite Jobs
Here is the distinction that matters.
An ERP keyword gets assigned. Authority runs outward from you. You decide what the word is and the system obeys without argument.
An SEO keyword gets discovered. Authority runs inward, from thousands of strangers who typed something long before you thought about it. Your keyword research never creates those phrases. It only finds them.
So you can be wrong about an SEO keyword. Volume estimates mislead. Intent gets misread.
Being wrong about an ERP keyword sounds impossible by comparison. You picked it, after all. Then somebody else has to use it.
That reversal explains a lot of confused meetings. Your operations lead hears keyword and pictures a field she can edit this afternoon. Yet your marketer hears keyword and pictures a number nobody can change. Both of them are using the word correctly.
Somebody Will Say This Is Just a Naming Collision
Reasonable objection. Two industries reused one word. Homonyms, nothing further to discuss.
Ten years ago I would have agreed.
Then the ERP became the system of record for product data. Not the website. Nor the marketing folder on somebody’s desktop. The ERP.
And product data leaves the building now. It feeds the web store’s search box. Then it populates a shopping feed. Sometimes it fills a marketplace listing or a quoted spec sheet.
So the field you filled in for the warehouse ships out to strangers. That is where the homonym quietly stops being a homonym.
What Internal Shorthand Looks Like Once It Ships
Internal language is efficient. It is also unrecognizable outside the building.
Consider what actually lands in these fields. Supplier part codes. The abbreviation two people in receiving invented years ago. A customer’s surname, because that account ordered the item first. Occasionally a note about which shelf it sits on.
“BLU-LG-2” tells your picker everything they need. It tells a shopper nothing whatsoever.
Rankings are rarely the damage. The failure shows up closer to home. Somebody searches your own web store for “blue bracket” and gets zero results, on a product you have forty of in stock.
Meanwhile the site search log records that miss. Almost nobody reads that log.
Nobody Maps That Field on Purpose
Integrations get built quickly. A developer wires the ERP to the storefront and needs something to fill the product’s search terms.
Then they spot a field literally called keywords. Obvious choice. It ships.
Nobody in that conversation was a marketer. Still, nobody asked what was actually in the field. The mapping happened because of a naming coincidence, and it now decides what your site search can find.
Go and read your own mapping document, assuming one exists. Trace where each ERP field ends up. Surprises tend to cluster around anything named keyword, tag or note.
The Test That Costs Nothing
Do this before you buy any tool.
Open your ERP. Pull your twenty best-selling items. Now hide the description column and read only the keyword field.
Ask one question of each row. Would a stranger have typed any of this?
Count the passes. Twenty out of twenty would surprise me. Whatever the number is, it is yours and not an industry average.
That number tells you how much of your catalogue is findable by a person who does not already work there. No software hands it to you.
Your ERP Keyword List Already Has a Demand Report
Nobody sells a keyword tool for ERP fields. No volume column exists for the things your own staff typed and failed to find.
Two logs cover it anyway.
The first is your ERP’s own search history, assuming the system keeps one. Plenty do. Failed lookups tell you which records were invisible to the people paid to find them.
The second one is better. Your web store most likely keeps an internal search log. Every zero-result query in there is a buyer describing a product in words your data does not contain. Read a month of it.
That list is not an SEO keyword list. It is narrower, and far more useful for this particular job. Real phrases from real buyers. Aimed at products you actually stock.
Then match them back to the item records that should have surfaced. Do that and the exercise is basically finished.
Who Should Actually Write These
Somebody has to own that text. Two candidates tend to work.
Whoever answers the phone is the strongest pick. They hear the words customers use before anyone translates them into part numbers. That vocabulary beats a tool subscription.
Your storefront maintainer is the other option. They already know which values render publicly.
Purchasing is the weakest pick, though purchasing usually creates the records. They work from supplier documents, in supplier language. Usually under time pressure as well.
None of this needs new software. It needs one named person and a short rule about which fields go public.
Where the Two Kinds of Keyword Should Actually Meet
The obvious fix is the wrong one. Do not paste your SEO keyword list over the ERP field.
Internal retrieval breaks the moment you do. Your warehouse team searches the shorthand they have used for years. Swap in customer phrasing and their lookups start failing. You have moved the problem rather than solved it.
Two values instead. Keep the shorthand. Add the phrase a customer would use beside it. Same field or a second one, depending on what your system allows.
Then work out which fields actually get syndicated. Only those need customer language. The rest can stay in dialect.
One Record, Several Audiences
A single item record now serves the warehouse and the call centre. Then the web store. Finally an ad platform as well.
Four audiences, one row of text. No wonder that text reads like a compromise.
It was written for the first audience and inherited by the other three. Splitting it is the durable answer. Internal identifiers stay in the internal field. Customer language goes wherever your storefront reads from.
Fewer arguments later, too.
The Least Governed Text in the Company
Ask who owns that field. Usually the answer is nobody.
Item keywords get typed by whoever created the record. Frequently at the end of a shift. Often by a person hired last month, working from a supplier’s spec sheet.
No report displays them. Nor does any review cycle ever touch them. Yet they may be the most widely exported text you own.
Compare that to how carefully your homepage copy gets argued over. Identical audience at the far end of both.

The pattern repeats. An e-commerce client reports weak on-site search. Category pages look fine. Rankings are moving, too. Still, visitors cannot find products by name.
Cause sits upstream, inside the ERP, in a field nobody suspected. A site audit that stops at the HTML never reaches it.

Is the keyword field in ERP the same as an SEO keyword?
No. An ERP keyword is a label you assign for internal retrieval. By contrast, an SEO keyword is a phrase real people already searched, which you discovered afterward. One of them you control completely. The other you can only observe.
Where do I find the keyword field in my ERP?
Look at any master record, typically the item or the customer screen. Field names differ by vendor. Search term is a common wording. So is search key. Some systems say search description, others simply use tags. Your own search help normally lists which fields the lookup reads.

Not over top of what is already sitting there. Add customer phrasing alongside the internal shorthand rather than replacing it. Then confirm which fields your export actually reads.
